Firms using IT contractors to implement SharePoint software must employ strong governance over the system, according to one expert.

Retention policies and a legal discovery procedure are just two of the important safeguards that should be built into the operation of SharePoint, according to Doug Miles, the UK managing director of the Association for Information and Image Management (AIIM) Europe.

Microsoft's collaboration software platform can offer many firms distinct benefits, but not if the data going into it is not correctly sorted or managed.

"You can end up taking your digital landfill, which was previously all over your fileshares, all over your servers, and all you're going to achieve is putting it inside the SharePoint box - it's still a digital landfill," Mr Miles explained.

Take-up of SharePoint is on the increase, with 22 per cent of companies who responded to an AIIM survey saying it was now in use by 100 per cent of staff.
